Outline topics before the session

A meeting agenda provides a structure that the minutes can follow afterward. Atlassian recommends starting with basic details such as the title, time, location or meeting link, then defining the objectives and attendees. Break the discussion into specific topics, each with a lead person and a realistic time allocation. Share supporting documents in advance so participants arrive with the context needed to contribute.

Leave room for outcomes and owners

The agenda template also includes space for decisions, follow up tasks and deadlines. Those sections make it easier to record useful minutes while the discussion is happening. Prioritize the most important topics, allow some flexibility for unexpected questions and avoid adding documents that do not support the meeting's purpose. Afterward, confirm the next steps and who is responsible for each one. The agenda describes the planned discussion, while the completed notes should show the actual decisions and commitments that resulted.
