Start with broad categories
A useful document system gives every file a predictable home. How To Geek recommends beginning with broad folders such as Work, Personal and Media, then adding smaller divisions for individual projects or types of material. The aim is to stop using one directory as a catchall. Consistent naming helps search as well, while excessive nesting can make an otherwise orderly hierarchy slow to navigate.
Keep active locations easy to reach
Pin frequently used folders to Quick Access in File Explorer, and remove those shortcuts when projects finish. Move downloaded files into their appropriate locations instead of letting Downloads become a second filing system. The preview pane can help identify a document without opening it, and Details view supports sorting by name, type, size or modification date. Archive older folders when they are no longer active, and periodically review whether the structure still matches the work you actually do.
